1. Create or join your program
- 1Sign up with the invite code we gave you, then choose I run or coach a program on your first screen. Later, find it on Home.
- 2The owner fills in Add your facility: the facility, team or league name, and your name as families see it. Your program page opens with two codes: the family code for parents and the staff code for coaches. Only the owner sees the staff code.
- 3Each coach signs up, opens Create or join a program and fills in Join with a staff code. They appear under Staff on the program page.
2. Invite your families
- 1On your program page, the Invite your families panel holds your join link. Copy link, Copy message (a ready note with the link and the family code) or Share it to your team app, group text or email.
- 2Print a flyer gives one letter page with a large QR code, the link written out and the family code. Download QR (PNG) gives the code alone for slides or a newsletter. The code is made on your device and nothing is uploaded.
- 3A parent who scans or taps the link signs up with your family code filled in, adds their athlete, and the athlete is linked to your program. A parent who already has an account enters the family code on their athlete's page.
- 4Athletes show up under Athletes on your program page as families add them, with each sport they play.
At a team night, put a flyer on every table and give families a few minutes to sign up on their phones before you start.
3. Run a showcase day
- 1Open Training from the menu. Optional: set Showcase targets for each class year. From sixth grade up, families see how close their athlete is to each one.
- 2Tap Run a showcase day. Pick the sport, the date and the athletes taking part. Everyone linked to your program who plays that sport is listed, with their positions.
- 3Enter every station in the grid: Enter and Tab run down a column, so one coach can work a station line by line. On a phone it goes station by station. Each column carries the device that measured it.
- 4Save once at the end. Each athlete then has a results card for the day: their best at each station and the change since their own last reading.
- 5Make your first one a Baseline day (the switch on the showcase page). Retest every 90 days, or the interval you set: the Retest due panel in Training counts who is due, and we email you once when a retest falls due.
After a retest, each family gets a then and now report: their own child's numbers since the baseline. Results are never ranked against other athletes, and athletes below sixth grade see milestones and personal bests instead.
4. Add readings and import device files
- 1For one number, open the athlete and tap Add reading under Progress.
- 2For a session on a device, use the Device file panel: in Training it matches rows to your athletes by name in every sport they play, and on an athlete's page every row is that athlete in the sport on screen.
- 3Choose an export from Blast Motion, Rapsodo, TrackMan, Pocket Radar or a timing system, or any spreadsheet. A known device's columns are read for you; for a spreadsheet, pick the metric each column holds or skip it, and name the device.
- 4Check the preview and save. Nothing is saved before then. A reading with no device named is labeled self reported.
5. Review clips and add pointers
- 1Parents upload video from home (MP4, MOV or WebM, up to 500 MB). Each clip without a pointer waits under Clips to review in Training.
- 2Open the clip, play it and pause at the moment that matters. Type your pointer and tap Add. The pointer is pinned to that second.
- 3To show it, tap Draw. The clip pauses and you draw on the picture: Arrow, Line or Circle by dragging, Angle by tapping one end, the corner and the other end (it shows the degrees). Pick yellow, red or blue, add a few words if you like and tap Save. Undo and Clear take marks back.
- 4Parents see every pointer. Playing the clip stops on each drawing and shows it until they press play. A clip leaves your review list once it has one.
- 5Families on a Coach Plan send review requests, which wait under Review requests in Training. You get an email within about 15 minutes of each one, and the family hears within 15 minutes of your answer.
6. Record background checks
- 1Every staff member, the owner included, needs a background check from the last 12 months to post to the team feed, post announcements, add events, reply in Coach Plan threads or answer review requests.
- 2The owner taps Set check beside each name under Staff and enters the date an ID, national criminal and sex offender check came back clear. It counts for 12 months, then shows as expired.
ProvenPlayer does not run the check. Use the screening your league or club already uses, and record the date here.
7. Announcements, schedule, binder and feed
- 1On your program page, Team updates has Post announcement: pick one team or the whole program and write to parents (up to 2,000 characters and an optional link). It is one way: nobody replies. You can edit or delete it for 10 minutes.
- 2Add event puts a practice, game, tryout or other event on one team's schedule with the date, start and end, where, an opponent and notes. Edit moves it; Cancel event keeps it on the schedule marked Canceled.
- 3Families on the team see both on their Team page and get an email: a new announcement, an event in the next 7 days added, moved or canceled, the evening before each event, and a Fuel and hydrate reminder about three days before a game (turn that one off per team on the team form). At most one email an hour per team. It is free for every family.
- 4The Team page also shows the player cards of your athletes, by program and sport. A card appears only when its parent turns on Share with my team on the player card.
- 5The Team feed is where families and cleared coaches share an athlete's wins: a personal best, a milestone or the player card. Reactions are fire, strong and clap. There are no comments or messages.
- 6To share a win as a coach, open the athlete and use Share a win: pick the sport, the win, a caption and the program.
Announcements go to parents, never to a child. Height and weight never appear on a card, in a post or to teammates.
8. The monthly report parents get
- 1On the 1st, each parent whose athlete was measured the month before gets an email that the monthly report is ready. It names no child and carries no numbers.
- 2The report shows each sport's best of the month against the athlete's own earlier best, new bests, and the clips and pointers added. Parents open and print it from the athlete page.
- 3Measure every athlete at least once a month and every family gets a report. Parents can turn the email off on their Account page.
9. Run a tryout
- 1Open Tryouts from the menu and tap New tryout. Pick the sport, date, the team it feeds, letter grades (A+ to C-) or 1 to 5, the skills to rate, the stations and your quick tags. Each sport starts with a rubric you can change.
- 2Check in: give each kid a bib number. A kid already linked to your program can check in as themselves. For anyone else, add the parent's email if you have it, and never their name. Print bib cards and hand one to each family.
- 3Rate: on your phone, one kid at a time, tap a grade for each skill, enter station numbers, tap quick tags and add a note (Only me or All coaches). Write the Feedback for the family: what went well and what to work on.
- 4Board: sort by any skill, overall or station, and mark each kid Made, Maybe or Cut. Create team from Made adds the kids on ProvenPlayer to the team.
- 5Results: check every kid has feedback, tap Results ready, then Send results. Each family gets a private email and sees only their own child's result.
Rating and feedback need a background check from the last 12 months. The board is for coaches only; families never see another kid or a rank. In Draft mode each coach sees only their own ratings. Unclaimed bibs are deleted 90 days after the tryout.
10. Endorsements and the team recruiting page
- 1Under Coach endorsement on an athlete's page, a cleared coach taps Write and puts a few lines about the athlete for coaches at the next level. It shows on the high school profile when the family shares it.
- 2In the Teams panel, Recruiting page beside a team makes one link to send college coaches. Families list their own child from the athlete page; you cannot list anyone, and a player shows only once college coaches in the sport may contact their class.
- 3A coach who opens the link can save players to a free coach account. Turning the link off ends it, and every saved player from it.
11. Find players
- 1Find players, under Programs in the menu, lists athletes whose parents turned on Open to teams. It opens once ProvenPlayer approves your program and your background check from the last 12 months is recorded.
- 2Search by sport, age group, state or town and a number, for example a 30 yard sprint under 4.8. Each number shows its date and whether a program verified it or a parent measured it at home.
- 3Ask to talk sends the parent your name, your program and a short message. If the parent replies, a thread with them opens under Sent.
No links or email addresses in a message, up to 20 a week. You never message an athlete, and a parent can block you.
