Draft, pending legal review

Privacy Policy

Last updated October 30, 2026

The short version

  • A parent owns the account and every child's record.
  • We save nothing about a child until a parent agrees.
  • We never sell personal information and never show ads.
  • We do not use face recognition.
  • You can see, change or delete your child's record at any time.

Who we are

ProvenPlayer is run by Proven Player LLC, a [state] limited liability company at [address] ("we" or "us"). This policy covers the website at theprovenplayer.com and the ProvenPlayer phone app.

ProvenPlayer is a development record for young athletes. Coaches at a training facility, team or school record measured numbers, video and notes. Parents see the progress over time. High school players can share a college profile.

Questions about this policy or your child's information go to hello@theprovenplayer.com or to the mailing address above. We answer every message.

Who uses ProvenPlayer

  • Parents and legal guardians. A parent makes the account and adds each child. The parent owns the child's record.
  • Coaches and program staff. They see a child only while the parent has linked the child to their program.
  • Children do not have accounts. A child never signs up or signs in. Everything about a child comes from their parent or from coaches at a program the parent linked.

What we collect about adults

  • Your name and email address.
  • Your password, which our sign in provider stores in a scrambled form we cannot read. If you sign in with Google, we receive your name and email from Google instead.
  • The invite or family code you signed up with.
  • For coaches: the programs you work with, your role, and the date of your background check, which the program owner records.
  • Messages you write in a Coach Plan thread, and any feedback you send us.
  • Your choices, such as whether you get the monthly report email.
  • If you turn on a college or high school profile or list your child on a team recruiting page, the contact email you put on it.
  • For a coach account: your name, school, level and sport, the players you save from links you were sent, and your private notes on them.
  • If you ask about ProvenPlayer for a program through our program tour, the name, contact details and note you leave. We count tour visits without cookies or IP addresses.

Children's information and your rights as a parent

This section is our notice to parents under the Children's Online Privacy Protection Act (COPPA). Many athletes on ProvenPlayer are under 13. We treat every child's record with the same care, whatever their age.

Consent comes first

A parent adds a child in five short steps. Nothing about the child is saved until the last step, where the parent reads a short notice, agrees to this policy and signs with their full name. If a parent does not agree, nothing is saved.

What a parent gives us

  • The child's first and last name, birth date and gender (or Prefer not to say).
  • The sports they play, with positions, throwing or batting hand or strong side, team name, level and jersey number.
  • If the parent chooses: grade or class year, school and height. Weight only once the child is 13 or older.
  • If the parent chooses: a photo for the player card. We redraw every photo before saving it, which removes its location and camera details.
  • If the parent chooses: video clips they upload, or links to clips on sites like Hudl, GameChanger, YouTube or Vimeo.
  • If the parent chooses: home test results they measure themselves, each saved with its date and labeled Parent measured.
  • If the parent turns on Open to teams: a town and state for the listing.
  • If the parent chooses: a weekly habits check-in about sleep, breakfast, drinks and training days. See Habits check-ins below.
  • If the parent chooses, for a child 13 or older: the child's email, to give them their own login. With it the child can see their own stats, clips and their coach's notes and change nothing. The parent still sees everything and can remove the login at any time, which deletes it.

What coaches add

Coaches at a program the parent linked can add, for that child only:

  • Measured numbers, each saved with the date and the device that measured it.
  • Video clips, notes pinned to moments in a clip, and coach notes.
  • A development plan and messages in the child's Coach Plan thread. A parent is on every thread. There is no private channel between an adult and a child.
  • Posts of the child's wins in the team feed, only while the parent has team sharing on.
  • At a tryout: grades, tags and notes, which stay with the coaches (a program may share the child's average grades with the parent), and the decision and feedback for the family, which the parent sees.

Tryouts

A program can run a tryout for children who are not on ProvenPlayer yet. Such a child is only a bib number: we store no name, birth date or photo. Coaches record grades, notes, feedback and measured numbers against the bib, and may enter a parent's email only to send the results. The parent claims the bib with the code on the bib card, after the consent step for their child; the numbers then join the child's record. A parent sees only their own child's result, never another child or a ranking. A bib nobody claims is deleted, with everything recorded against it and the parent's email, 90 days after the tryout.

Habits check-ins

A parent may answer a short check-in once a week about the past 7 days: how many nights the child slept the hours our sleep guide suggests for their age, how many days they ate breakfast, whether they mostly drank water, a mix or sugary drinks, how many days they trained, and, if the parent wants, how they felt (great, OK, tired or sore). Counts and fixed choices only: no typed text, food log, photo or weight. Only a parent answers; children have no accounts.

  • Who sees it. The parents on the child's record. The coaches at a linked program, and only those with a background check from the last 12 months, only if a parent turns on Share habits with my child's coaches for that program; it is off until then. It is never shown to other families and never compared with other children.
  • Reminders. A parent who checked in during the last four weeks, or turned the reminder on, gets one email on Sunday evening when the week's check-in is missing. It names no child. Turn it off under Alert emails on your Account page.
  • Deleting it. Delete check-ins on the athlete's Three legs card removes every week for that child. They are also deleted with the child's record and with your account. Turning sharing off, or unlinking the program, ends the coaches' access at once.

What we never collect about a child

A child's email address, phone number, home address or precise location (the only place we keep is the town and state a parent types for Open to teams). We do not track a child across other websites or apps, and we do not use face recognition on photos or video. We collect only what the record needs, and a child never has to share more to take part.

How we use it

Only to run ProvenPlayer: to show the child's progress to the parent and to the programs the parent linked, to draw the player card, monthly report and results pages, and to keep the service safe. We never sell a child's information, never use it for advertising, and never use it to build a marketing profile.

Who can see it

  • The parent, and any other parent or guardian on the child's record.
  • Staff of each program the parent linked with a family code, while it stays linked.
  • Families and coaches on the same team, only if the parent turns on Share with my team. They see the player card and shared wins: the first name and last initial (or the full name if the parent chooses), sports, positions, class year, card photo and best numbers. Never height or weight.
  • Anyone with the link to a college profile, only if the parent turns one on. It opens no earlier than the NCAA contact date for the sport, which falls in a player's junior year of high school. It shows the name, class year, school, positions, height and weight, measured numbers and the clips the parent picks. Search engines are asked not to list it. Turning it off ends the link.
  • Anyone with the link to a high school profile, only if the parent turns one on, from 7th grade. It is for middle and high school coaches and shows the name, class year, school, height and weight, every sport's measured numbers over the years with their dates, milestones, any endorsement a coach at a linked program wrote, and the clips the parent picks. It never compares a child with others. Search engines are asked not to list it. Turning it off ends the link.
  • Anyone with a team's recruiting page link, which the team's coaches make for college coaches, only for a child whose parent listed them on it, and only from the NCAA contact date for the team's sport. It shows what the college profile shows. Coaches cannot list a child. Taking a child off, or the coaches turning the link off, ends it.
  • High school and college coaches with a free coach account can save a profile from a link they were sent, with private notes. They cannot search for or browse children. A saved profile disappears from their list when its link is turned off. The parent sees how many coaches saved it, with each coach's school and level, never their notes.
  • Verified coaches at other programs, only if the parent turns on Open to teams for a sport. See below.
  • Coaches at a linked program with a current background check see the habit check-ins only if a parent shares them with that program.

Nothing else about a child is public. A player card image you download and post yourself is yours to share, and leaves our control once you post it.

Open to teams

Open to teams lets a parent list a child in one sport so coaches at other programs can find them, even without a showcase. It is off until the parent turns it on on the athlete's page, one sport at a time. Turning it on is the parent's consent to share the fields below with verified coaches, and only those.

  • Who can look. Only a coach on the staff of a program we approved for it, whose background check, recorded by the program, is from the last 12 months. Not other parents, not the public and not search engines.
  • What they see. The sport, a two year age group (such as 10U), the state the parent typed and the town only once at least three listed children in that sport share it, the first name and last initial, and the child's numbers in that sport, each with its date and marked program verified or parent measured. Never a photo, video, exact age, birth date, school, address, height or weight, or the parent's name or contact details.
  • How they reach you. A coach can send the parent one short message (no links) through the app; we email the parent that a coach from the named program wrote. The coach learns nothing more unless the parent replies, which opens a message thread between that coach and the child's parents. The child is never in it. A parent can decline, or block a coach from seeing any of their children.
  • Turning it off. The listing is deleted at once and the child drops out of every search. Messages already sent stay with the parent until the account is deleted.
  • We keep a record of each coach search (the filters and how many results) to protect children and to stop misuse.

Your rights as a parent

  • Review and correct. See everything on your athlete's page and change it on the Profile tab.
  • Stop further collection. Unlink a program to stop its coaches adding to the record. Turn off team sharing, habit sharing, a college or high school profile, a team recruiting page listing, or Open to teams at any time.
  • Delete. Remove a photo, clip or the habit check-ins yourself. Delete your account in Account to delete your children's records. To delete one child and keep your account, email us.
  • Withdraw consent. Email us and we will delete the child's record and collect nothing more about them.

Write to hello@theprovenplayer.com for anything you cannot do in the app. We will confirm you are the child's parent before we share or delete anything.

If we learn we have a child's information without consent

We delete it.

Who helps us run ProvenPlayer

We use a few companies to host and run the service. They act for us and may use the information only to provide their service to us.

  • Supabase holds our database, sign in and files (photos and clips), on servers in the United States.
  • Vercel hosts the website.
  • Postmark sends our emails, such as password reset links and the monthly report email. We turn off open and link tracking.
  • Google, only if you choose to sign in with Google.
  • Anthropic runs the AI model behind Ask ProvenPlayer. When you ask a question, we send the question you typed, with the emails, phone numbers, dates and names we can detect removed, and passages from our own guides. We never send your account details or anything about your child. We do not store your questions or the answers; the conversation stays in your browser tab. Please do not include your child's name, school or where you live.
  • Slack carries short notices to our own team about activity, such as a new account. These never include a child's name, birth date, school, photo or anything typed about a child.

When you play a YouTube or Vimeo clip inside ProvenPlayer, that site provides the player under its own privacy policy. We use YouTube's privacy enhanced mode. Links to Hudl, GameChanger and other sites open on those sites.

We may also share information when the law requires it, or to protect a child's safety. If Proven Player LLC is ever sold or merged, this policy will still cover the information we hold, and we will tell parents first.

Cookies and tracking

We keep you signed in with your browser's storage. We do not use advertising or analytics cookies, tracking pixels or third party trackers. Our hosting and database providers keep short technical logs, such as IP address and browser type, to run and protect the service.

How long we keep it

We keep a child's record while the parent's account is open, so the record can follow the athlete over the years.

  • When you delete your account, we delete right away each child for whom you are the only parent on the record, with their clips, photos, numbers and notes.
  • If another parent or guardian is on a child's record, the record stays with them.
  • Numbers and notes you added as a coach to other children stay on those records, without your name.
  • Copies in our database provider's backups expire within [number] days.

How we protect it

Everything travels over encrypted connections. Photos and clips are stored privately and open only through links that expire. Database rules let each person reach only the records they are allowed to see. Coaches need a background check from the last 12 months before they can post, write plans or answer requests. No system is perfect, and we will tell you if a breach affects your information.

Your other privacy rights

Depending on where you live, you may have more rights, such as getting a copy of your information. Email us and we will help. We do not sell or share personal information for advertising, so there is nothing to opt out of.

Changes to this policy

If we change how we collect or use children's information, we will email parents first and ask for consent again before the change applies to their child. For other changes, we will update the date at the top of this page.
